Holidays and absences, payroll, hiring, and job reports that become bexio invoices. These pages replace the holiday spreadsheet, the wall calendar and the paper job report, and nothing on them pays, files or sends anything without you.
Approvals and questions from all three land in Needs you on My work, next to everything else waiting on you. A link in People opens the item there directly.
On Holidays & absences each person sees their remaining holiday days for this year, their own requests and reports, and who on the team is away in the coming weeks.
Weekends and the public holidays of your company's canton are not counted, so the days shown are working days. Colleagues see someone else's absence only as Away, never its reason, requests or balance.
A holiday request appears in Needs you with the dates, the working days, who else is away then and the balance after approval. Choose Approve or Decline, with an optional note for the person.
Under People → Absences the owner sees the month at a glance (overlaps are ringed), what was reported in the last two weeks, and a balance per person: entitlement, taken, planned, asked for and remaining. The owner sets each person's entitlement and carry-over there, enters holidays for someone, or cancels an approved absence.
Sick pay is not computed.
People → Payroll shows what your employees work from when they prepare a payroll run:
Today shows this month's payroll steps and every people approval waiting on you, oldest first.
People → Hiring shows where applications arrive (a connected mailbox or recruiting tool), which employee answers them, and how many applicant letters wait for you.
Each application is summarised against the requirements in your advert as met, not evidenced or unclear. There is no score, ranking or recommendation, and nothing about age, origin, health or family is used. You choose invite, hold or decline for each person, and every letter to an applicant waits for your approval, whatever trust you have given otherwise. When a role is filled, you are reminded which declined dossiers to delete or return.
Whoever did the job opens Job reports on the phone and taps New job report: the customer (bexio's contacts appear as you type), what was done (this becomes the invoice title), the date, hours lines at the usual rate and material lines, and a note. Send to the owner puts it in Needs you.
The owner then chooses Create invoice in bexio, Edit, Send back with a reason, or No invoice. The owner's own reports skip that step.
Before the first invoice, the owner chooses once under How job reports become invoices: who the invoice is from, the VAT code, the revenue accounts for hours (default 3400) and material (default 3200), prices with or without VAT, and the usual hourly rate. Everyone sees their own reports; the owner and anyone allowed to approve bookings see the whole team's.
If your team tracks time in bexio, MOCO, Clockify, Harvest, Toggl Track or Clockodo, connect it under Integrations and you need not type hours twice. On Job reports the card Hours from your time tracker lists the billable hours not yet billed for a period (last month, this month, last 3 months), one row per customer and project, never per person.
Make job report turns a row into a draft report: the project as title, one line per task at your usual hourly rate, and the customer matched to bexio where the names agree. Check the customer and rate, then invoice as usual.
A row that is already in a report is marked, and the button reads Make another, so the same hours are not invoiced twice. Toggl Track and bexio do not record what was billed, so the card counts every billable hour for them and the marker is your guard. The card is shown to the owner and anyone allowed to approve bookings.
